Duration: same day · Artifact: Intake Summary email
You send product(s) via email / WhatsApp / Alibaba link / photo / sketch. We capture: spec, quantity, target price, certs required, destination country, delivery urgency.
Duration: 24–48 h · Artifact: 3-factory comparison sheet
We activate our network → shortlist 3 factories → negotiate on your behalf → send a color-coded comparison sheet with: unit price, MOQ, lead time, certs, factory age, pros/cons. We always recommend 1 (but you choose).
Duration: 7–15 days · Artifact: Physical samples by courier
We ship you 1–2 physical samples per SKU. Sample cost is 100% refundable on bulk order ≥ standard MOQ. You test feel, weight, print, function, fit — then confirm or ask changes.
Duration: 1–2 days · Artifact: Signed stamped Proforma Invoice
You sign & stamp the formal Proforma Invoice (price + MOQ + delivery date + incoterm fixed forever). Then 30% deposit via T/T / Alibaba Trade Assurance / L/C. We never accept 100% upfront.
Duration: Day 0 of production · Artifact: IQC photo report
Within 24 hours of raw material arriving at the factory, our QC inspector visits on-site. Verifies: raw material spec sheet vs order spec, material test report, and pre-approval of a first-article sample.
Duration: 30% & 70% completion · Artifact: 2 PQC reports
Two unannounced on-site visits. Checks: dimensional tolerance, logo/print accuracy, workmanship, functional test (drill bit runout, LED brightness, chair load test, brush shedding test, etc.). If anything fails → factory reworks immediately at their cost.
Duration: 100% finished & packed · Artifact: FQC report + loading photos
AQL Level II / 2.5 standard random sample. Full packaging & barcoding verification. Carton count vs Packing List. Container sealing & seal-number photo. Your written approval of this report is REQUIRED before 70% balance.
Duration: 1–3 days · Artifact: Commercial Invoice + loading video
After your FQC approval, you pay the 70% balance. We then: LCL consolidate (if multi-factory), load into container under supervision, apply numbered seal, take seal photo + container# photo.
Duration: 3 working days post-sail · Artifact: Full 7-documents package + tracking
We email the complete document package: CI, PL, B/L (original or telex release), CO, preferential Form (A / F / E / L), Insurance, and FQC report. Also send tracking link (sea / rail / air / courier) and weekly progress update until destination port.
Duration: 0–30 days after arrival · Artifact: Claim resolution + replacement plan
We don't disappear after the ship sails. Our 30-day arrival window covers: (1) document questions for your customs broker, (2) shortage or damage notice, (3) defect claim — with clear resolution menu (free replacement / partial refund / full refund) — see FAQ Q17.
